Nonprofit Manager & Program Coordinator

We are seeking a Nonprofit Manager and Program Coordinator for a part-time or full-time position that is hybrid, a combination of in-office work in Lafayette, remote work from home, as well as on-site work at a ranch and nature preserve in Solano County for programs and events. 

Purpose of Role

The Nonprofit Manager & Program Coordinator plays a key role in ensuring the alignment of programs with our mission and vision. This role coordinates activities throughout the organization, and supports programs. We are a collaborative, professional, and inclusive team, which includes the founder, executive director and marketing communications strategist. The job requires significant collaboration in all aspects of our work.

Crescent Moon seeks a person who believes in our mission, and lives in the Bay Area. The ideal candidate must have experience with nonprofit management, as well as personal experience with addiction recovery, creative arts, and preferably with horses. The applicant must have the capacity to engage compassionately and supportively with underserved populations. 

Responsibilities

 

Programs

  • Assists with all aspects of program and event planning, including registration and logistics

  • Follows-up on program related emails, inquiries, scheduling, and applications

  • Coordinates with volunteers, facilitators and participants

  • Assists with program outreach and promotional efforts

  • Assesses program needs and makes recommendations with regard to program development and staffing.

Board of Directors

  • Liaison between Board of Directors and Executive Director

  • Organizes meetings (arranges meeting times, produces agenda, collects and distributes all documents to members)

  • Records and circulates meeting minutes

  • Supports the Grant and Fundraising Advisory Committee and future Task Forces

Nonprofit Management

  • Files registrations in states in which we seek grants

  • Maintains and updates registrations to comply with federal and state regulations for nonprofits

  • Manages memberships in associations and other organizations

  • Documents and tracks data related to impact reports for board, donors, grants, as well as program development

  • Maintains donor database, processes incoming donations, and sends acknowledgement letters with tax-exempt information

  • Documents donor interactions, monitoring and responding to donors

 

Administrative

  • Coordinates team meetings and maintains office calendars

  • Opens and responds to mail, and regularly checks voicemail

  • Sends invoices to bookkeepers

  • Provides administrative support to Executive Director including correspondence, scheduling, filing, and travel arrangements

  • Records team meeting notes and follows up on action items in notes

  • Keeps the progress of projects moving forward by updating and maintaining the project management system (Monday)

  • Organizes office files, program supplies and program materials

  • Other management and administrative duties as required

Development & Communications

  • Coordinates email newsletters and other nonprofit communications

  • Manages mailings (ie Annual Fundraising & Impact Report, Appeals)

  • Assists with updating and compiling contacts list, as well as CRM set-up and maintenance.

  • Provides support to development and communications projects, campaigns and initiatives

  • Coordinates and acts as a liaison with local and regional contacts, partners, and sponsoring organizations 

  • Internet research as needed

Skills

  • Working knowledge and ability with computer and quickly learn new software technology. 

  • Examples include outlook email, word, powerpoint, and excel (Office 365 suite), Google drive, Zoom, CRM (i.e. Bloomerang), Project Management Tools (i.e. Monday), Website CMS (i.e. Wix)

  • Customer service oriented, able to answer questions and troubleshoot issues

  • Ability to develop effective systems that are user friendly

  • Excellent communication, organizational, and project management skills 

  • Capacity to take in and process information with attention to detail

  • Internet research and analysis skills

  • Flexibility and able to work independently and collaboratively

  • Ability to work remotely from your own computer

  • Ability to work in our Lafayette (CA) office

  • Ability to travel to the program site in Solano County and be present for full days, multiple days within a week or 2 weeks at a time.

 

Compensation

$30-40 per hour based on experience
